Impact Scale is seeking a highly organized and proactive Office Admin to oversee office operations, provide administrative support, assist with human resources functions, and manage essential communications. This role ensures the smooth functioning of our office environment, supports the team with day-to-day operations, and handles key interactions with vendors, service providers, and government agencies. The ideal candidate is detail-oriented, reliable, and thrives in a dynamic, fast-paced environment. This part time position would require you to be in office Mon-Thu however hours are flexible.

Office Management

  • Organize and maintain office operations, supplies, and systems.

  • Oversee the office’s cleanliness, functionality, and organization.

  • Connection with vendors, service providers, and landlords to manage contracts and ensure services.

  • Coordinate food catering and team events.

  • Ordering office snacks/drinks

  • Coordinate employee parking and office key fobs

Administrative Support

  • Handle correspondence, including emails, phone calls, and mail.

  • Schedule meetings, appointments, and travel arrangements for staff.

Human Resources Assistance

  • Maintain employee records and assist with onboarding new hires.

  • Support HR functions such as timesheet tracking, benefits enrollment, and training coordination.

  • Track anniversaries and reviews 

  • Assist in coordinating quarterly team events

  • Coordinate birthday gifts and celebrations

Hours, Location and Benefits:

  • Must be able to come to the office 20 hours a week (Mon-Thu)
